Meeting Minutes

The meeting was called to order at 11:46am.

  • The Board welcomed Winton Pitcoff on the Board of Registrars with term ending March 31, 2025.
  • The Board voted unanimously to postpone reorganizing the board until the next meeting when all members were present.
  • The Board discussed the application process of applying for a position on the Board of Registrars for the term to start on April 1, 2025 and discussed applications that had been submitted so far.
  • The Board reviewed draft minutes of previous meetings, specifically: July 10, 2024, September 3, 2024, October 18, 2024, and November 5, 2024 meetings. It was moved and seconded to approve the draft minutes from 7/10/2024, 9/3/2024, 10/18/2024 and 11/5/2024. Vote was unanimous at 11:59am.
  • The Board reviewed the 2025 election schedule and went over registrar duties described in the Board of Registrars handbook issued by the Secretary of State’s Office.
  • Increased Compliance with Census Responses: Alissa provided an update on the census. As of March 20th, most households had not completed & returned the census forms mailed out at the beginning of January. A second mailing of the census would likely gather more responses prior to mass inactivation in June for voters of non-respondent households. An increased response rate would reduce additional expenses that the town would incur later in the year by sending out pre-paid postcards to non-respondent voters notifying them of their inactivation.
  • Mass inactivation is required by mass general law to be performed at the beginning of June each year by all towns and cities and is a required expense that the town incurs that can be reduced by increased compliance with the census. The Board of Registrars agreed to meet as needed to assist with the process of sending out the second mailing notices and updating the census information into the voter registration system.
  • After discussion, it was moved and seconded to dissolve the meeting. Vote was unanimous at 12:24am.
